These Terms & Conditions govern your use of services provided by Transport Firm, a luxury car rental company based in the United Kingdom. By booking, paying for, or using our services, you agree to comply with the following terms and conditions in full.

2. Booking and Reservation Process

2.1 How to Book:

You can request a booking through the following channels:

• Our website

• WhatsApp messaging

• Phone or email

Once your request is received, we will:

• Confirm the vehicle’s availability

• Discuss delivery and collection arrangements

• Inform you of the final price, including deposit

• Request documentation for identity and eligibility checks

2.2 Identity Verification:

To proceed with the booking and confirm eligibility, you must submit the following:

• A clear photo of your driving licence (front and back)

• A DVLA check code (for UK licence holders) Get it at gov.uk/view-driving-licence

• One formal proof of address, dated within the last 3 months (e.g., utility bill, bank statement, or council tax letter)

Failure to provide the above may result in cancellation or delay of your booking.



3. Eligibility Requirements

To rent a vehicle, you must:

• Be aged between 25–75 (or 30–75 for high-performance vehicles)

• Hold a full, valid UK, EU, or international driving licence for at least 2 years

• Have no unspent driving convictions

• Be sober and not under the influence of alcohol or drugs while operating the vehicle

Additional Drivers must be declared in advance, meet the same requirements, and be authorised by us in writing.



4. Use of Vehicle You agree:



• Only approved drivers may operate the vehicle

• The vehicle will not be taken abroad without our written permission

• It will not be used for illegal, racing, towing, or off-road purposes

• The vehicle must be returned in the same condition it was received

Unapproved use will result in immediate termination of the agreement and vehicle recovery at your expense.



5. Vehicle Availability & Substitution

If the selected vehicle is unavailable, we may:

• Offer an alternative vehicle of similar specification from our fleet

• Source a similar vehicle through our partner network

We strive to meet your request to the best of our ability.



6. Delivery & Collection

• Free delivery/collection within the London M25

• Nationwide delivery is available for an additional fee (quoted in advance)

• You must be present for the handover unless previously arranged otherwise



7. Rental Duration & Late Returns

• Rentals may be arranged for periods from 1 day up to 12 months

• Discounts (up to 40%) may apply for long-term rentals

• Vehicles returned more than 6 hours late without notice may be charged for an extra day

Notify us promptly if delays occur — we aim to be flexible when possible.



8. Payment Terms

8.1 Payment Methods:

We accept:

• Bank transfer

• Secure online payment links

• Major credit/debit cards (Visa, MasterCard, Amex)

8.2 Payment Policy:

• Full payment must be made at least 48 hours before your rental begins

• Bookings are confirmed only after payment is received

• Late or failed payments may lead to automatic cancellation



9. Security Deposit

9.1 Amount:

A refundable security deposit of £2,000 to £10,000 is required, based on the vehicle’s value and type.

9.2 Refunds:

• Returned within 3–5 business days if no damage, fines, or missing items are reported

• Deductions may apply for fuel charges, damages, tolls, fines, or contract violations



10. Cancellation Policy

• Cancel more than 48 hours before the rental: 100% refund

• Cancel within 48 hours: 50% refund

• No refund for cancellations after the rental start time or for no-shows

Please cancel as early as possible to maximise your refund.



11. Fuel Policy

You are not required to refill the fuel tank before return.

We will:

• Measure fuel used

• Charge you based on pump prices

• Deduct the amount from your deposit



12. Traffic Violations & Fines

You are legally responsible for any violations during your rental, including:

• Parking fines: £28.50 admin fee + fine

• Speeding tickets: £15 admin fee + formal nomination as the responsible driver

All charges will be deducted from your deposit or invoiced if necessary.



13. Damage, Loss & Insurance Liability

You are fully responsible for:

• Any damage (interior or exterior), theft, or vandalism

• Natural events (e.g., flood, storm, falling branches)

• Loss or destruction of the vehicle

If the car is written off or unrepairable, you may be charged the market retail value.



14. International Use

You must inform us in advance if you plan to take the vehicle abroad.

If approved, we will provide the necessary documentation. Unauthorized international travel is strictly prohibited and will lead to immediate termination and recovery of the vehicle.



15. Privacy & Data Protection

We collect and process your data in accordance with the UK GDPR. Your data is used to:

• Process bookings

• Verify identity and eligibility

• Comply with legal obligations

We do not sell or share your information with third parties except where legally required.



16. Limitation of Liability

We are not liable for:

• Delays due to traffic, breakdowns, or weather

• Loss of personal belongings

• Indirect or consequential damages

Our maximum liability is limited to the rental fees paid by you.



17. Termination of Agreement

We reserve the right to cancel or terminate the agreement immediately if:

• You breach these Terms

• You misuse the vehicle or provide false documents

• You fail to pay on time

In such cases, the vehicle will be recovered and deposits may be withheld.




18. Governing Law & Jurisdiction


These Terms are governed by the laws of England and Wales. All disputes will be handled exclusively in the courts of England and Wales.



19. Changes to Terms

We may update these Terms & Conditions periodically. Continued use of our services constitutes your agreement to the most current version.
